Operations Coordinator (Volunteer)

About Unified Human Foundation

Unified Human Foundation (UHF) is a convening and funding intermediary for grassroots regenerative organizations. Rather than running programs ourselves, we identify trusted partners already doing measurable work on the ground, raise targeted philanthropic capital, and connect that funding to the people creating lasting impact.

 

Registered across the UK, US, India (Unified Prakriti Foundation), and Australia, Unified Human operates as a small, volunteer-driven team supporting projects in tribal community development, reforestation, and coastal conservation, alongside a growing convening and events program.

 

Why this role exists

Like many growing nonprofits, Unified Human Foundation is powered by a small group of volunteers balancing meaningful work alongside careers, families, and other commitments. As we grow, we want to plan further ahead—giving meetings, campaigns, and events the lead time to be set up for their best possible outcome.

 

We’re looking for someone who naturally thinks three to four months ahead. Someone who can keep upcoming priorities visible before they become urgent, ensuring meetings, campaigns, and volunteer efforts have the planning and follow-through they need to succeed.

 

This isn’t simply a coordination role. It’s an operations role focused on creating the systems, rhythms, and visibility that help the entire organization work more effectively.

 

The person we’re looking for

This role is built around a specific kind of person, more than a specific résumé.

 

When you see a deadline, you’re already picturing everything that needs to happen before it. You keep lists. You notice when something has been sitting untouched for too long. You enjoy creating order where there isn’t much structure yet.

 

You’re comfortable following up until something gets resolved, and you do it in a way that makes people feel supported rather than chased. You don’t wait to be told the next step—you’ve already anticipated it.

 

Most importantly, you enjoy building systems that help other people do their best work.

 

This role comes with genuine ownership. We’re not handing you a rigid checklist to execute. We’re handing you an operational gap and trusting you to build the processes and habits that close it.

 

Responsibilities

Operational planning

  • Maintain a rolling 3–4 month planning calendar for meetings, campaigns, deadlines, and organizational milestones.
  • Identify what needs to begin now to keep future priorities on schedule.
  • Help establish consistent planning rhythms across the organization.

Board & team coordination

  • Schedule meetings and coordinate calendars.
  • Prepare and distribute agendas in advance.
  • Capture meeting notes, action items, and follow-up responsibilities.
  • Ensure meetings move from discussion to execution.

Volunteer operations

  • Serve as the primary point of coordination for volunteer tasks.
  • Match volunteers with opportunities based on availability and interests.
  • Check in on progress and help remove obstacles where appropriate.

Follow-up & accountability

  • Maintain visibility of open commitments and organizational action items.
  • Follow up with team members when deadlines are approaching or at risk of missing them.
  • Provide regular status updates to the Board on progress and outstanding priorities.

Continuous improvement

  • Recommend and implement lightweight systems that improve planning, communication, and accountability as the organization grows.

Experience

  • Experience coordinating meetings, projects, or administrative work—whether in a job, a volunteer role, a student organization, or elsewhere. This doesn’t need to be a formal job title.
  • Comfort with everyday tools like email, shared calendars, and video calls; familiarity with Google Workspace and Zoom.
  • Experience with a nonprofit, volunteer organization, or board is helpful but not required.
  • No specific degree or certification is required. We’re prioritizing the traits described above over formal credentials.

Tools & Systems

We currently collaborate primarily using Google Workspace and Zoom.

 

Beyond that, we’re intentionally lightweight. If you have experience with simple project management tools or operational workflows that could help the organization stay organized, we’re open to your ideas and encourage you to help shape how this role evolves.

Done well, you’ll help transform UHF from operating meeting-to-meeting into an organization with room to plan, breathe, and act deliberately. That’s not just better administration—it’s stronger operations, healthier collaboration, and greater impact.

 

What success looks like after 90 days

  • A clear, trusted 3–4 month planning calendar that leadership actively relies on.
  • Meetings that consistently happen on time, with agendas shared beforehand and action items distributed promptly afterward.
  • Volunteers and board members who spend less time tracking logistics and more time moving meaningful work forward.
  • Operational systems that are becoming repeatable, sustainable, and easier for others to follow.

Time & Structure

  • This is a new role at Unified Human, so we’re starting with an estimate: roughly 10–15 hours per month. As we learn together what the work actually takes, we’re open to adjusting that range up.
  • A short recurring check-in with the Board or a designated board liaison.
  • Fully remote.
  • Because UHF works across the UK, US, India, and Australia, occasional flexibility across time zones is helpful, but not required.
